Reconcile the receiving handover
Record the source collection references, receiving time, responsible user and measured details required by your process. Keep differences between collection and receipt visible. Separate an operational discrepancy from a missing data upload so the right team can investigate it. A blanket “received” status is insufficient when only part of a consignment can be matched.
Keep processing references connected
Associate the appropriate waste records with the relevant processing or batch references according to the facility’s approved procedure. Preserve operator and equipment identity and the supporting records. Avoid assuming one bag always maps to one batch; the model should reflect the real authorized workflow and retain a traceable relationship.
Record interruptions without hiding them
Keep downtime, equipment issues and deviations linked to the affected operation. Route them to trained personnel responsible for the facility’s procedures. Do not create a successful processing record simply to close an incomplete dashboard item. This guide does not specify treatment settings, storage limits or emergency actions; use approved procedures and applicable regulatory documents.
Build a reviewable evidence pack
For a selected period, retrieve collection-to-receipt reconciliation, processing references, relevant equipment records and the exception history. Check whether a reviewer can follow the relationships without relying on one employee’s memory. Test access controls and backup restoration so the record remains available when a workstation or staff assignment changes.
